Tech Arena Pty Ltd (ABN 59 685 371 028) (“Tech Arena”, “we”, “us”) runs techarena.com.au. This policy explains what personal information we collect through this website, why, and what we do with it.
1. Our approach to the Privacy Act
Tech Arena may be a small business that the Privacy Act 1988 (Cth) does not cover. We choose to follow the Australian Privacy Principles (APPs) anyway, and this policy explains how.
2. What we collect
When you send an enquiry through our forms (the “Book a free IT health check” form on the home page, and the contact page form), we collect: your name; your email address, phone number or both; on the contact page, your business name, how many people work there, what you would like to book, the services you are interested in (and, for AI or software work, the task you want to automate), how urgent it is and the best way to reach you; on the home page, your biggest IT headache; and anything you type in the message box. Please do not include passwords or sensitive information, such as health details, in the message box.
Automatically, when you visit the site:
- Our web host keeps standard server logs (such as IP address, date and time, pages requested and browser type) to run and secure the site.
- We use Google Analytics 4 to count visits and see which pages are useful. It sets cookies that record a random visitor ID, the pages you view and how you reached the site. The provider is Google LLC, which may process this information overseas, including in the United States.
- HubSpot tracking sets a cookie that records the pages you view and, if you send an enquiry, links those visits to your enquiry. The provider is HubSpot, Inc., which may process this information overseas, including in the United States.
We use cookies for Google Analytics 4 and HubSpot, as described above. We do not use advertising cookies, we do not show ads, and we have not built a cookie banner. You can block or delete cookies in your browser; the site still works without them.
Spam protection: our forms check how quickly they are filled in and limit how often one internet address can send them. For this we keep a scrambled (hashed) version of your IP address for about 10 minutes, not the address itself. We may also use Cloudflare Turnstile to tell people from bots. When it is on, it loads from Cloudflare when you open a page with a form, checks your browser and device, and receives your IP address. See section 6.
3. Why we collect it
- To reply to your enquiry and arrange your IT health check or other conversation.
- To keep a record of our communication with you.
- To manage our sales contacts in our customer records system.
- To keep the website secure and working.
We do not sell your personal information. We do not use computer programs to make decisions that significantly affect you. Our spam checks only decide whether a form submission looks automated; if yours is blocked, call or email us.
4. How we store and protect it
When you submit the form:
- Your enquiry is saved in the private part of our website, which runs on WordPress. It is not visible to the public and only authorised administrators can open it.
- We email a copy to info@techarena.com.au (Microsoft 365).
- We create or update a contact in our HubSpot customer records system.
We protect the information with access limits on the admin area, secret keys kept off the public site and out of the database, and encrypted connections (HTTPS). No system is perfectly secure, so we cannot guarantee that information will never be accessed without permission. If a data breach is likely to cause serious harm, we will tell the people affected as soon as we can, with steps they can take, and notify the OAIC where the Notifiable Data Breaches scheme applies to us.
5. How long we keep it
We keep enquiries for 24 months after you send them. If you become a client, our agreement with you sets how long we keep your information.
When that period ends, we delete or de-identify the enquiry on our website, in our mailbox and in HubSpot, unless the law requires us to keep it.
6. Who we share it with, including overseas
Some of these providers are overseas. We use providers whose contract terms require them to protect personal information, and we take reasonable steps to make sure they handle it consistently with the APPs.
| Provider | What it does | What it receives | Where it may be held |
|---|---|---|---|
| HubSpot, Inc. | Customer records (CRM) | Your name, email address, phone number and business name, plus tracking cookie data (pages viewed) linked to your enquiry | Overseas, including the United States, and other countries where HubSpot and its providers operate |
| Microsoft Corporation (Microsoft 365) | Sends the enquiry email to our info@ mailbox and stores our email | Everything you enter in the form | Australia and other countries, including the United States |
| Google LLC | Analytics (Google Analytics 4) | Visitor ID, pages viewed, how you reached the site | United States and other countries |
| Cloudflare, Inc. | Spam protection on the form (Turnstile) | Technical data such as IP address and browser details | Cloudflare’s global network, including the United States |
| HostYourServices | Hosts the website and stores enquiries and server logs | All website data | Australia, or other countries where our host operates |
We may also disclose information if the law requires it, or to professional advisers under confidentiality.
7. Newsletter and marketing messages
We do not send newsletters from this website, and sending an enquiry does not sign you up to marketing emails. If we ever send you marketing emails, we will ask first, and every email will name Tech Arena and include an unsubscribe link.
8. Access and correction
You can ask to see the personal information we hold about you, or ask us to correct it. Contact us (section 10). We will respond within 30 days. It is free to ask. We may need to confirm who you are first. If we refuse, we will tell you why in writing and how to complain.
9. Complaints
If you think we have mishandled your personal information, contact us first (section 10). We will acknowledge your complaint within 7 days and give you a written reply within 30 days. If you are not satisfied, or we have not replied within 30 days, you can complain to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au, phone 1300 363 992.
